How to Create an Admin Busting Email Bounceback
If you're anything like me, you love running a creative business. You enjoy the feeling of creating something with your own hands and sending bits of who you are out into the world. You love what you do, you like the work. But you hate the backend of running a business. If you're anything like me, you'd much rather hole up in your studio for days creating and you'd give anything to avoid doing admin, emails, accounts... but when you're a one-person business, what can you do? I mean if you don't respond to those emails, you won't get any clients and thus, no business. So until I can afford my very own admin and customer service departments, here's my little hack to cut down on email admin.
1. Pick the 5 questions you're asked most often.
You've probably answered these questions a million (billion) times. The answers are probably even on your website for everyone to see but in this day and age, who has time to actually read stuff? Come on, this isn't 2005. Get with the program. Anyhow, pick the 5 questions you're asked most frequently.
2. Create answer pages on your website
If you don't already have the answers on your website (seriously why don't you?), create pages with detailed responses for each question. Be sure to anticipate every sub-question and repeat things if necessary. Keep your answers, simple and concise. Don't use any technical language and make sure your responses are approachable to everyone. You want people who have no idea what you do to get it in the first paragraph.
3. Create an auto responder in your email program
I'm not going to get technical here and tell you how to do it as it varies from provider to provider. Basically, you go into your email settings (you may need to do this on your desktop and not in your phone app), select out of office or auto response settings and follow the instructions.
4. Get linky with it
In your auto responder, write out each frequently asked question and include a link to the answer. Save it, test it out by emailing yourself from a different address or getting a friend to help, and you're done! With these simple steps, you've cut down email admin significantly. Here's a snippet from my bounce back email:
